Recording Notice & Participant Consent

What may be recorded at SBC Capital events, how recordings may be used, and how participants can protect their privacy.

Version: 2026-02Effective: October 5, 2026
01

Advance notice

SBC Capital may record certain webinars, virtual meetings, private sessions, panels, and in-person events. We will identify a recorded event on the event page, during registration, in joining instructions, or through an announcement before recording begins. This notice supplements our Privacy Policy and Event Terms.

What your acknowledgement means

Acknowledging this notice does not require you to appear on camera or speak. It confirms that you understand recording may occur and that a voluntary contribution—such as speaking, appearing on camera, presenting, or submitting a question—may be captured and used as described below.
02

What may be captured

  • Audio, video, display name, profile image, and screen content visible while recording.
  • Questions, chat messages, polls, reactions, and other contributions made during the recorded portion.
  • Slides, documents, demonstrations, and other material that you choose to present or submit.
  • Event date, role, professional affiliation, and contextual information reasonably needed to identify a speaker or contribution.
03

Purposes and publication

Recordings may be used to deliver the live event, provide an on-demand replay or member resource, create transcripts and accessible versions, maintain internal records, review quality, train event personnel, and develop educational or promotional excerpts. We will state before the event if a recording is intended for public publication. Distribution may occur through SBC Capital websites, member areas, email, social media, or third-party video and event platforms.

We may edit for length, clarity, formatting, accessibility, and brand presentation, but will not knowingly use a contribution in a materially misleading manner.

04

Your participation choices

  • Keep your camera and microphone off and use a non-identifying display name where the platform permits.
  • Avoid submitting a question or chat message if you do not want it included in a recording.
  • Send a question privately to the moderator when that option is available.
  • Contact us before the event if you need an accessibility accommodation or a reasonable alternative to recorded participation.
  • Leave the recorded portion of an event. Contact us for information about any non-recorded alternative that may be available.

If you are a featured speaker, panelist, or presenter, additional written terms may apply and will control if they conflict with this general notice.

05

Permission for voluntary contributions

When, after receiving notice, you voluntarily speak, enable video, present, or submit content during a recorded event, you authorize SBC Capital and its service providers to record, reproduce, edit, transcribe, caption, translate, display, distribute, and otherwise use that contribution for the purposes disclosed in this notice, worldwide and without additional compensation. This permission includes your name, professional affiliation, voice, image, likeness, and submitted material as they appear in the recording.

You confirm that you have the right to provide your contribution and that its authorized use will not violate another person's rights or obligations.

06

Protect confidential and deal-sensitive information

Assume your contribution may be distributed

Do not disclose material nonpublic information, transaction details subject to confidentiality, trade secrets, privileged communications, or personal information about another person. SBC Capital cannot reliably remove information from copies already accessed or distributed.
07

Retention, access, and security

We retain recordings according to the event's stated purpose, audience, contractual requirements, and our records schedule. Public or on-demand educational content may be retained while it remains relevant; source files and routine working copies are deleted or archived when no longer reasonably needed. Registration and consent records may be retained separately to document attendance and permissions.

Authorized staff, contractors, event providers, speakers involved in production, and the disclosed audience may receive access. We use reasonable access controls and service-provider safeguards, but no online transmission or distribution method is completely secure.

08

Withdrawal and requests

Where consent is the applicable legal basis, you may withdraw it prospectively by emailing info@sbc.capital. We will evaluate requests to remove or de-identify a contribution where reasonably feasible and legally required. Withdrawal does not affect prior lawful use and may not enable us to retrieve copies already distributed, quoted, cached, or incorporated into completed materials.

09

Acknowledgement

By acknowledging this notice during registration and then voluntarily participating in a recorded portion of an event, you confirm that you have read and understood the recording practices, purposes, choices, and permissions described above. If you do not agree, do not activate your camera or microphone, present content, or submit a recorded contribution, and contact SBC Capital before the event if you need another participation arrangement.
